Administrative Coordination
Swedish International School of Geneva is a private bilingual preschool and primary school for children ages 1-12 offering instruction in English, Swedish, French. SISOG is a private bilingual preschool and primary school for children ages 1-12 offering instruction in English, Swedish, French. Our school is located in Meyrin. We are looking for new members to join our administrative team. In the position described as Administrative Coordination you would be one of two in the administration office. In this role you will be key in our organisation to ensure a smooth functioning of the school.
Key Responsibilities:
Administrative Management
Oversee, coordinate and manage administrative operations
Maintain and update school policies and procedures as required by Swiss authorities.
Create and maintain internal documentation, reports, and records. This includes work permits and paperwork around employees.
Organise and oversee school wide events and staff meetings.
Work closely with the Admissions and Operations team to ensure accurate data input, organization, and maintenance of the schools database.
Provide updates and reports as needed to support admissions and administrative operations.
External Communication with Swiss Authorities:
Serve as the primary point of contact for Swiss authorities, including the commune and other governmental bodies.
Ensure compliance with local and national regulations.
Handle all official correspondence in French and coordinate required submissions or reports.
Drafting of certificates and official documents.
Organizational Coordination:
Coordinate schedules, replacements, authorizations and bookings, timelines, and deadlines for administrative as well as schoolwide projects.
Provide logistical support for events or initiatives requiring interaction with external authorities.
Manage relationships with service providers and vendors as required.
Manage stocks and orders (maintenance)
Invoices Processing
Serve as the point of contact for receiving and organizing service providers and vendors invoices.
Liaise with the Finance department to assure timely and accurate payment processes.
Key Skills and Qualifications:
Fluency in French and English (spoken and written) is essential.
Strong organizational skills with attention to detail and the ability to multitask effectively.
Familiarity with Swiss administrative processes and local authorities is an advantage.
Proficiency in using administrative, MS Office, Google Workspace and database software.
Excellent interpersonal and communication skills, with the ability to liaise professionally with various stakeholders.
