Admissions & Communications Coordinator

Swedish International School of Geneva is a private bilingual preschool and primary school for children ages 1-12 offering instruction in English, Swedish, French. SISOG is a private bilingual preschool and primary school for children ages 1-12 offering instruction in English, Swedish, French. Our school is located in Meyrin. SISOG is looking for new members to join our administrative team. In the position described as Admissions & Communications Coordinator you would be one of two in the administration office. In this role you will be key, serving as the primary point of contact for prospective families wishing to join the school, providing information and guidance about the admissions process and the school.

Key Responsibilities:

Admissions Management:

  • Coordinate and manage the admissions process, including processing applications, scheduling tours, and facilitating meetings with families and follow up.

  • Maintain regular communication with families to ensure a smooth onboarding and thereafter keep it an ongoing process.

Family Communications and Engagement:

  • Act as the main communication link with current families, addressing inquiries and resolving concerns in a timely and professional manner.

  • Support continuing communication with enrolled families to foster a positive school-family relationship.

  • Promote and coordinate engagement opportunities at SISOG such as after-school and holiday camp programs.

  • Internal and external communication and coordination with the management and marketing team.

Database and Records Management:

  • Maintain and update the schools database with admissions and family-related information.

  • Collaborate with the administrative team to ensure accuracy and consistency in family and student records.

  • Generate reports and provide data insights as needed to support admissions, enrollment efforts and management.

Tuition Invoicing Coordination:

  • Accurately prepare the invoices in a timely manner, liaising with the Finance department.

  • Responsible for sending the invoices to parents and for any handling their demands in this regard

  • Responsible for payment follow-ups in collaboration with the Finance department.

Organisation - After-School and Holiday Camp Coordination:

  • Organize and manage the registration process for after-school and holiday camps in collaboration with the Administration & After School team.

  • Communicate schedules, requirements, and other details to families.

  • Coordinating schedules and replacements

Key Skills and Qualifications:

  • Excellent written and spoken English is essential. Proficiency in Swedish and/or French is strongly preferred.

  • Exceptional interpersonal and communication skills, with the ability to build strong relationships with families, staff and other shareholders.

  • Strong attention to detail and the ability to manage multiple tasks and deadlines effectively.

  • Proficiency in database management and relevant administrative tools such as MS Office and Google Workspace.

  • Ability to work closely with other departments, including Finance and Administration, Management Team, to provide seamless support to families.
